We have an opening for an Administrative Assistant 3 or 4 to join our team of qualified, diverse individuals in the New Moon Operating Unit organization. This position will be located in Aurora, CO.

What You'll get to Do:

The Mission Exploitation Operating Unit is seeking a high energy, dependable Administrative Assistant to join our team. As the selected candidate, you will support several programs within the Mission Exploitation with a variety of duties including arranging meetings, setting up and maintaining files, arranging travel for personnel, processing associated expense reports, coordinating on-boarding of new personnel to the program, and supporting special program and campus events. You will coordinate with appropriate organizations, i.e., facilities, security, property, and account management to ensure contractor visit requests, badges, and account forms are properly filled out and submitted. You will support coordination and integration of presentation material from team members and will have the opportunity to help execution of customer and team meetings. We are seeking an independent thinker with a track record of excelling in a fast-paced, multi-faceted, and collaborative team-based environment. The position requires excellent communication skills, an ability to multi-task and organize/prioritize tasks independently, strong office management and interpersonal skills, a solid foundation in SCI program security practices, self-motivation, and the ability to collaborate in a team environment. The selected candidate should have the ability to act with discretion and good judgment when handling or disseminating sensitive, confidential, or proprietary information. This position will report to the Mission Exploitation Legacy Programs Portfolio Manager and provide support to several programs, program managers and leaders as required.

Principal Duties:
  • Arrange meetings and teleconferences
  • Maintain and synchronize unclassified and project calendars
  • Arrange travel and prepare associated expense reports
  • Coordinate on-boarding of personnel
  • Answer questions and solve problems related to office operations and established policies and procedures
  • Coordinate office workspace planning, ordering office equipment with the facilities and IT organizations
  • Interface with all levels of Program personnel and Customers
  • Process visit requests, badges and accounts forms
  • Support coordination and integration of meeting materials
  • Support and collaborate with other Administrative Assistants as needed
  • Support special event planning and catering, such as meal planning, ordering food from caterers, delivering food, clean up and expensing
This position may be filled as either a level 3 or a level 4 based on the qualifications listed below

Qualifications:

Basic Qualification for a Level 3:
  • High School Diploma/GED plus 4 years of additional education and/or experience
  • Current SCI clearance
  • Proficiency in Microsoft Office Suite including Word, PowerPoint, Outlook, Excel
  • Proficiency in editing written material for correct spelling and grammar
  • Experienced with organizing/maintaining/deconflicting schedules, calendars, meetings, and travel arrangements
  • Prior experience working as an Administrative Assistant or performing equivalent responsibilities
Basic Qualification for a Level 4:
  • High School Diploma/GED plus 10 years of additional education and/or experience
  • Current SCI clearance
  • Proficiency in Microsoft Office Suite including Word, PowerPoint, Outlook, Excel
  • Proficiency in editing written material for correct spelling and grammar
  • Experienced with organizing/maintaining/deconflicting schedules, calendars, meetings, and travel arrangements
  • Prior experience working as an Administrative Assistant or performing equivalent responsibilities
Preferred Qualifications:
  • Associates degree
  • Experience in Concur/ITRIP, I-Buy, NG My IT, SAP
