Description

We have an immediate need for an Executive Secretariat to join our team at the Department of Energy's Office of Fossil Energy (FE).   The position requires strong organizational and communication skills and attention to detail.  The candidate must be highly organized, self-starter and motivated, possess excellent proofreading and editing skills, capable of providing quick turnaround support in a dynamic environment, and able to take charge in urgent situations.  Knowledge of government processes is preferred.

Position Requirements:

  • Bachelor's degree and 2+ years of professional experience that includes writing, proofing, and editing documents
  • Strong interpersonal skills and able to work efficiently, both independently as well as in a team environment
  • Proactive, self-starter, collaborative, energetic, diligent, and highly organized
  • Strong oral and written communication skills
  • Attention to detail and consistency, and ability to produce error-free work
  • Track record of attendance and timeliness, as well as personal responsibility
  • Excellent working knowledge of Microsoft Office suite
  • Capability to work under deadlines on high-profile projects and coordinate with multiple contributors
  • Experience in correspondence tracking and supporting communications, correspondence and Congressional report initiatives in a federal government setting
  • Experience with federal operational and administrative processes and procedures
  • Project Management experience

Position Responsibilities:

  • Review, proofread, and edit daily correspondence addressed to management including proofing all final communication 
  • Review all actions signed by the PDAS and ASFE and perform copyediting for grammar, clarity, consistency, and adherence to client style preferences
  • Process and update incoming Congressional, intergovernmental, and public correspondence, including maintain correspondence into eDocs
  • Manage, compile and track annual technical Congressional reports from the Fossil Energy Program Offices and field sites, including all aspects of the correspondence lifestyle process
  • Update and close out all Fossil Energy internal correspondence in the IRM system 
  • Update and maintain Congressional and Executive Secretariat Congressional Reporting databases
  • Work closely with Fossil Energy Program Offices to process and review urgent actions for concurrence, and coordinate with ES to obtain FE-1 concurrence on all actions
  • Work with the technical staff and program offices (General Counsel, Public Affairs, Congressional) to clear all outgoing communications; work with technical subject matter experts to revise content
  • Obtain external program concurrences on relevant FE packages and correspondence
  • Support program offices and ES who prepared actions for signature, including annual reports and letters signed by the Secretary
  • Sort old correspondence and place documents that included personal identifiable information in burn bags for secure disposal
